Policies and Grades

HECUA Policies

Three policy packets (Principles and Policies for Students, Sexual Harassment and Sexual Violence Policies, and Safety and Security: Principles and Practices) outline important information for all students participating in HECUA off-campus study programs. Every student accepted into a HECUA program receives these documents. Students are required to read these materials thoroughly before signing the Participation Agreement, which certifies that a student agrees to abide by all policies and guidelines set forth in the policy documents.

It is important to note that due to New Zealand government regulations, the Principles and Policies for Students and Participation Agreement for HECUA's New Zealand program differ slightly from the documents provided to students in other HECUA programs.

Grade Policies, Grade Reports, and Transcripts

Grades are the responsibility of each faculty director. In general, HECUA programs follow a standard U.S. grading matrix, with letter grades corresponding to percentage grades as in the table below.

Faculty send grades to HECUA Student Services no later than two weeks after the end of a program. HECUA grade reports are then forwarded to member institutions. It often takes several days for grades to appear on a home institution's internal system. Students from schools outside HECUA's consortium should allow for additional processing and mailing time.

Students from schools in HECUA's consortium:
A HECUA grade report (transcript) is sent electronically and as a paper copy to the student's home institution. Staff in the off-campus studies office or the registrar's office transfer the student's grades onto the school's official transcript per prior arrangements with the institution.

Students from schools outside HECUA's consortium:
HECUA registers students from schools outside HECUA's consortium temporarily at Hamline University, which serves as the school of record for registration purposes only. At the end of the semester, HECUA submits a stamped and sealed HECUA grade report directly to the Hamline registrar's office where it is transferred onto an official Hamline University transcript. This transcript is sent to HECUA, where it is then forwarded to the student's home institution to the appropriate office for registration.

Grades will be withheld by HECUA for any student:

  • who has not paid all program fees; or
  • who has not completed all evaluations related to her/his HECUA program
